The Business Operations Lead for EPSR manages a small central team will set the standards for the organization’s operation rhythms and will manage the budget and HC for the organization as well as track EPSR activities. The lead will facilitate the community of Business Operations leads who report to the leaders of large teams in the organization to empower EPSR to perform at optimum capacity, efficiently and with execution excellence.

Operating Rhythms

  • Facilitate weekly staff meeting of regular agenda topics plus guest speakers.
  • Set agenda and co-ordinate presentations for All Hands.
  • Ensure organizational leader has presentations needed for Leadership Reviews.
  • Work with COO’s Chief of Staff team to provide any information needed about leader’s organization.
  • Monitor critical metrics that are reported company wide and ensure the teams are engaged on anything that needs attention. (includes tracking compliance training, survey response rate, quality metrics)
  • Analyze results of employee and technology surveys.Facilitate and drive improvement plans for identified actions.
  • Facilitate and plan Leadership Offsites.
  • Participate in reorganization discussions and document reorganization plans, working behind the scene with HR and finance.
  • Act as liaison to GCCI to help facilitate issue tracking, risk assessments, and other programs.
  • Partner with Communications to plan and execute key messages and delivery to internal and external audiences.   Draft team communications for Organization Leader.
  • Produce and edit Monthly Newsletter.

Budget and HC

  • Ensure adherence to budget guidelines in the areas of:hiring, FTE & AWF HC, Travel and Entertainment, and Employee Expenses by empowering leaders to track their budgets
  • Manage hiring of incremental and backfill employee positions as work force planner in Workday.
  • Manage contingent worker positions and budgets as work force planner in Fieldglass.
  • Own opex and capex budgets.
  • Partner with finance on forecasts and reporting.

People Development

  • Track promotions and employee ratings including plans for low performers
  • Write Business Cases for Roles that are under scrutiny and/or jobs that need to change locations.
  • Act as learning champion by partnering with training groups (e.g. Risk Training and Development and Technology Training)
  • Partner with HR on manager training opportunities.
  • Work with leaders on role descriptions.

Job Requirements

  • Excellent interpersonal, communication, and leadership skills will be critical for success. 
  • Success depends on building rapport and credibility with multiple stakeholders across the organization. 
  • Must understand how the Technology org’s budget and funding process function.Requires a level of understanding that is deep enough to educate Sr. Managers and Directors on the process and construct.
  • Must be highly organized with attention to detail, but still be able to function at the strategic level to establish context and sound reasoning for data driven decision making.
  • Must be comfortable with ambiguity and able to “bring order to chaos” when required.
  • Must be able to manage others through influence to effectively achieve outcomes.
  • Should be comfortable talking about technology topics and identifying issues.
  • Should be effective at meeting facilitation for small groups (e.g., Staff meetings and Leadership off-sites) as well as large groups (e.g., All Hands meetings).
  • Must have the ability to work effectively in an autonomous fashion, and willingness to enable the success of stakeholders worldwide.
