Preferred Qualifications • Bachelors’ Degree in Business Administration/Diploma in Executive Secretaryship or equivalent experience. • Ability to single-handedly provide report generation and statistics. • 5+ years direct senior executive administrative support experience. • Highly organised, strong prioritization skills and the ability to work to deadline. • Comfortable working in a high volume, fast-paced environment. • Experience in handling matters with absolute confidentiality. • Excellent written and verbal communication skills. • Excellent organization and prioritization skills. • Proficient in working with MS Office suite: Word, Excel, Outlook, and PowerPoint • Extremely talented in PowerPoint with the ability to creatively edit content and layout of decks. • Customer communication experience (e-mail & phone). • Internet search and research savvy. • Strong grammar and spelling skills.


Administrative duties:

  • Provide administrative support to the  Operations Team as required, including typing correspondence, filing, mail handling (incoming/outgoing), PowerPoint presentations, and necessary communications internally and externally
  • Review and prioritize incoming e-mail correspondence and apprise leaders of situations and issues requiring immediate attention
  • Assisting with HR administration for the leaders such as Appraisals and Development Programmes
  • Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department
  • Initiate and maintain project tracking, capture action items and due dates/deliverables, report back to meeting attendees via working documents which will be used to track timing of deliverables
  • Compose spreadsheets to be used in organizing financial data
  • Prepare expense reports, purchase orders, and check requests

Full calendar management:

  • Act as gatekeeper and timekeeper of leaders time
  • Ensure the leader has sufficient time to prepare for meetings
  • Ensure the leader has agenda and supporting documentation for every meeting
  • Identify priority meeting requests as distinct from business as usual
  • Daily catch up to coordinate calendar activities

Travel and expenses:

  • Responsible for leaders travel arrangements
  • Organize travel (and hotel bookings, preparation of detailed travels itineraries for leader
  • Organize and be point of contact in managing visitors itinerary and travel arrangements, ensuring seamless travel experience to/from KL site
  • Prepare expense report

Site level duties:

  • Co-ordinate staff meetings, visitors meetings (CLEP, VIP Senior leaders) and all other meetings hosted by Site Leader and Chief of Staff.
  • Arrange meeting pack compilation and distribution, minute taking, gathers update on action items, room booking arrangements, food catering prior to meeting
  • Deadline management - responsible for ensuring Operations leadership team meet deadlines requested by Senior Director and VP
  • Work and manage regional/site level projects when necessary
