The Real Estate & Facilities group seeks a dynamic Administrator to join their team.

Main responsibilities include maintaining the lease administration database,  assisting Real Estate Manager and  Real Estate Counsel in processing lease documentation, including leases, estoppels, SNDAs and other related lease documentation.  Includes monitoring serviced office agreements, lease expirations and options and overall support for global lease transactions.


  • Experienced individual with 3-5 years commerical real estate experience to support Real Estate Manager and a global lease portfolio with the following:
  • Maintain lease database and input of new lease documentation upon execution
  • Coordinate with Accounting on year end financial reporting related to lease obligations
  • Respond to requests for lease documentation from SOX compliance group
  • Provide administrative support for lease transactions
  • Process lease documentation through legal document process system
  • Obtain approvals for lease execution in accordance with FAP
  • Support local real estate legal counsel in review and execution of estoppels, NDAs and other lease related documentation
  • Provide administrative support for all notices and correspondence to landlords
  • Assist in monitoring receipt of sublease rents
  • Assist with request for lease information from various internal departments
  • Assist with management of serviced office agreements and monitor related expirations and notice termination dates
  • Provide support to construction manager for capex projects and landlord reimbursements
  • Interact with financial analyst on annual rent forecast and monthly updates to rent forecast
  • Coordinate required bank guarantees and cash security deposits with treasury dept
  • Prepare ad hoc Excel spreadsheets to analyze lease obligations and rent schedules as needed
  • Interact with global real estate brokers on upcoming site search requirements
