The Facilities Move Coordinator for PayPal San Jose HQ Campus is a diverse role that will encompass the site and buildings, move management, facilities, technology, furniture, physical labor, project management, and associated tasks that touch on accounting, data management, and Human Resources.  The role will report to the San Jose PayPal Facilities Supervisor.

Project Management/ Planning/Scheduling

  • Report any unusual or problematic conditions that may affect the RE&F team immediately to the Facility Manager with as much information and data available at that time along with specific recommended actions.
  • Oversee furniture moves with Facility Manager, onsite property management partner, furniture vendor, and Space planning team.
  • Ensure all inquiries to Move-Help, and Fac-Amer are monitored and responded to.
  • Receive related move deliveries and organize move deliveries as requested by customers and management.
  • Obtain quotes for any moves and materials as required and reorder upon depletion.
  • Responsible for service of post-move coordination with move vendor and customer.
  • Maintain space floorplans, desk relocation spreadsheets, move records, vendor quotes, and coordinate updates with Space Planning and Facilities manager.
  • Responsible for workspace refreshes needed to set up new employees or exiting employees (desk clean, clean seat, clean file cabinet, nameplate orders, and vacuum carpet, desk reset, delivery of left items, update floorplan).
  • Carries out and researches requests with little direction and presents findings in a timely manner.
  • Train and become knowledgeable about all building systems and equipment in regard to their proper use, owners, and familiarization.

Reporting/Technology

  • Perform regular audits and execution of moves onsite.
  • Collect data for reports and assist in the presentations and or document requests.
  • Ensure moves are recorded and performed in the electronic move tool (Serraview).
  • Maintain a system for tracking equipment and items being relocated.

Internal/External Relationships

  • Partner with stakeholders, BU leaders, Space Planning, Space-Contacts, Mover Vendors, Contract facilities partners, and the Facility Manager to manage the move process and associate tasks.
  • Liaison with BU’s in San Jose and other offices to ensure services are coordinated and infrastructure is working.
  • Work with corporate IT to resolve any move related technology issues.
  • Manage and supervise outside contractors, consultants, and resources to perform all major deliveries, moves, furniture, and related facilities. responsibilities concerning the building and PayPal infrastructure.
  • Partner with the local Safety and Security Team and take an active role in site employee Health, Safety, and Environmental standards.

Facility Support

  • Secondary duties are the general support of facilities responsibility areas/items/equipment/materials/service in need of attention, management, guidance, or labor.
  • Ensure a stock of standard move supplies is maintained.
  • Ensure storage rooms/security cage are available for high profile customers.
  • Assist in the overall operation of the campus facility mission.
  • Utilizes knowledge of company culture, operations, policies, procedures in performing duties with minimal direction/supervision.
  • Must be able to lift 75 lbs.

Additional qualifications:

  • Minimum of 5 yrs experience handling interoffice moves/relocations, shipping/receiving and all facets of logistics and building services, required.
  • Familiar with PayPal procedures and technology, preferred.
  • Excellent organizational, project management, technical, interpersonal, communication, and analytical skills, required.
  • Excellent written and oral communication skills, required.
  • Strong computer and systems knowledge (MS Office-Intermediate and Serraview, a plus).
  • Experience working with C-Suite, preferred.
  • Able to work independently.
