We are seeking a highly competent Executive Administrative Assistant to support the Vice President of Developer Platforms and Experience (DPX) organization. This individual must be extraordinarily capable of multi-tasking & appropriately handling sensitive information. Success in this role is when this individual anticipates the needs of the executives and takes the initiative to solve problems independently, whilst managing the calendar and emails displaying appropriate judgment. In addition, this individual will be expected to proactively identify opportunities to make the overall DPX organization and DPX leadership team more efficient over the long term.

  • Partner and network with other Company administrative assistants in order to collaborate, obtain information, get things done and solve problems
  • Coordinate off site needs for leadership staff and logistical planning for team building events
  • Create PowerPoint presentations for the executive
  • Provide logistical support to run all-hands meetings – share slides through MS Teams, handle Q&A through tools like Slido.
  • Follow up on action items on behalf of the executives, as appropriate
  • Provide effective and expeditious meeting coordination including agendas, notes and follow-up
  • Screen and respond to phone calls and email as appropriate
  • Make travel arrangements expeditiously and accurately
  • Prepare and track purchase orders, invoice payments and expense reports
  • Planning, calendar and email management; making considered and appropriate judgments
  • Handle incoming & outgoing Courier, inter-office mail and post
  • Handle special projects as they arise

Job Requirements

  • Proven ability to independently exercise sound judgment and take initiative

  • Capable of building strong relationships with other individuals and departments in order to accomplish tasks and achieve goals
  • The ability to operate effectively in a fast-paced environment with little supervision

  • Respect for confidentiality and ability to properly handle sensitive information is a must
  • Ability to confidently interface with executive-level contacts inside and outside the company

Basic Qualifications

  • 12+ years relevant work experience supporting at VP level
  • Proven competency using MS Office applications; Word, Excel, PowerPoint, Outlook, MS Teams (or equivalent video conferencing tools like Zoom/Webex)
  • Proven competency using MS Office applications; Word, Excel, PowerPoint & Outlook
  • Experience using expense reporting tools like Concur
  • Experience using procurement tools like SAP, Ariba
  • Excellent verbal and written communication skills in English language
  • A related Bachelor’s Degree or equivalent
