To provide contract administration support, to ensure legal contracts are well managed in terms of coordination, assignment, proper filing and tracking of documentation. To provide support to the Legal department to manage the contracts in a timely and organised manner. Similar industry experience would be highly preferred, as well as savviness with technology.


  • Manage and coordinate all activities related to contracts in terms of proper filing, monitoring and tracking of all documentation in a timely and efficient manner.
  • Review contract requests for accuracy and direct through contracting process.
  • Track and manage contract submissions queue.
  • Administer and support efficient contract management for both online and offline execution.
  • Process contract signatures using DocuSign or other eSignature applications.
  • Maintain the contract management systems and other databases.
  • Identify any contract management issues and proposes solutions for approval.
  • Undertake system checks, testing and maintenance to ensure efficiency and streamlining.
  • Coordinate and liaise all contract management issues with immediate supervisor/s, departmental peers and others.
  • Interface with legal department staff to expedite legal review.
  • Maintain organised system of physical and digital records and ensure adequate records retention for all contracts and related documents managed by the Legal team.
  • Manage and organise all the relevant and related documentation for all the contracts.
  • Assist with domestic and international legal entity governance.
  • Maintain and organises records and database for domestic and international subsidiaries
  • Work with internal teams in various jurisdictions to coordinate execution of legal documentation (e.g. resolutions, powers of attorney and minutes).
  • Prepare miscellaneous corporate forms/documents at direction of Legal team; coordinate procurement of signatures for corporate documents; coordinate notarisation/legalisation of documents; prepare outgoing mail and packages.
  • Support training activities for Contract Management personnel.
  • Assist in preparation budget reports, billing and monthly reporting; create and manage purchase orders.
  • Provide general administrative support and reporting for the Legal team.
  • Plan and schedule meetings, presentations, and other office related events; send reminders regarding upcoming appointments.
  • Coordinate travel arrangements and manage expenses for the Legal team.
  • Generate reports, as required
  • Any other duties as per assigned


  • Minimum 3-7 years’ experience in the contract management/procurement/legal field.
  • Experience in Salesforce, Contract Management Systems and eSignature Applications.
  • Understands basic contracting principles.
  • Excellent MS Office skills, especially Excel and PowerPoint.
  • Detail-oriented and flexible.
  • Excellent organisational and time management skills.
  • Motivated individual, able to manage competing priorities and juggle multiple demands.
  • Ability to work with a team at all levels of an organisation.
  • Good written and oral communication skills.
  • Able to apply sound business judgment.
  • Bilingual with business level proficiency in Mandarin and English.
