PayPal is seeking an Executive Assistant to support multiple members of the leadership team. The Executive Assistant reports to the Chief of Staff and performs a range of duties to support the effective day-to-day operations of PayPal Europe.

Job Responsibilities:

  • Organize, plan and coordinate meetings, and events
  • Basic diary management, including meeting request management and room and resource bookings
  • Manage domestic and international travel bookings, including working with our travel agency to book all air and ground transportation, lodging, commuter travel, etc.
  • Prepare materials for meetings, including printing and binding
  • Provide meeting support, including room setup, coordination of catering and setup of meeting materials
  • Complete expense reports, IT tickets, HR requests etc.
  • Support commuting executives as needed with local logistics (e.g. coordination of external appointments and services related to housing, government registration, etc. in Luxembourg)
  • Partner with other company executive assistants in order to collaborate, schedule meetings, solve problems, and obtain information to ensure smooth day to day operations
  • Support routine office administration activities as needed, including but not limited to document management and archives, sorting, distributing and scanning incoming and outgoing post, distribution of monthly lunch vouchers, parking allocation, expense reimbursement, event and meeting support (e.g. catering, room setup, etc.), room bookings and general administrative support for commuting executives
  • Manage the onboarding and payment of third party vendors as needed
  • Provide backup coverage for reception in case of emergencies

Job Requirements:

  • Strong time management, process management and productivity skills. Expert calendar management. Understands overall department priorities, and aligns schedules and meetings appropriately
  • Highly resourceful team player, a strong collaborator with the ability to build relationships and solve problems, with the ability to also be effective independently
  • Intuitive sense of confidentiality and a gatekeeper and management of access to the right people and directing requests to the right area
  • Adaptable and highly flexible, willing to work with a high degree of fluidity, while retaining a strong sense of goals and priorities
  • Self-starter and self-directed: understands the needs of the executives and proactively helps out and addresses gaps and opportunities
  • Demonstrated proficiency with Microsoft Office, including Outlook, Word and Excel
  • Minimum of 2 years of administrative support related experience
  • Must be highly organized with exceptional follow through and the ability to work competently and efficiently in a fast-paced environment with a high attention to detail
  • Must be able to display a poised and professional demeanour, remaining unfazed by a dynamic environment with shifting and competing priorities
  • Excellent communication and interpersonal skills, including strong business writing skills
  • Fluency in English is essential, French and German proficiency also beneficial
  • Degree or equivalent professional qualification preferable but not essential
