The Administrative Assistant will be supporting the Sr. Director, CET & Americas Communications as well as senior directors in the Communications organization.

  • Organize, plan and coordinate meetings, and events
  • Manage domestic and international travel booking
  • Help coordinate complex documents and presentations.
  • Provide support on special projects
  • Complete expense reports, IT tickets, HR requests etc.
  • Proactively develop and maintain agendas for key meetings
  • Work effectively to manage schedules, and support effectiveness of the senior team
  • Take ownership of day to day management of the communications team, including new hire logistics, onboarding and overall team needs
  • Partner with other company executive assistants in order to collaborate, schedule meetings, solve problems, and obtain information to ensure smooth day to day operations
  • Understands overall department priorities, and aligns schedules and meetings appropriately
  • Ability to be effective and efficient in a fast changing environment
  • Intuitive sense of confidentiality and a gatekeeper and management of access to the right people and directing requests to the right area
  • Self-starter and self-directed: understands the needs of the executives and proactively helps out and addresses gaps and opportunities
  • Ability to be a team player and build relationships to solve problems
  • A creative thinker; able to find solutions potentially outside of normal channels
  • Consistently and proactively suggests and introduces new ways of working to improve effectiveness
  • Comfortable working under deadline pressures and with colleagues who may work remotely
  • Effectively work with a diverse group of people
  • Experienced with highly confidential information
  • Ability to learn internal intranet systems specific to PayPal and research skills with a sense of urgency
  • This person should have a high degree of flexibility beyond regular work hours, operate effectively in a fast-paced environment and have the ability to handle multiple priorities simultaneously.
  • Build strong relationships with other departments in order to accomplish tasks and achieve goals plus the ability to build relationships across key stakeholders is critical.
  • This person will work on assignments that are sensitive in nature with high-level contacts inside and outside the company, so the ability to keep confidentiality is of critical importance.

This ideal candidate must possess:

  • 6+ years of experience as a successful Executive Assistant in a complex and dynamic technology environment.
  • Proven competency using MS Office applications: Word, Excel, PowerPoint & Outlook.
  • Strong time management, process management and productivity skills. Expert calendar management.
  • Extremely organized with exceptional follow through
  • This position requires the individual to exercise good judgment and prioritize well.
  • Must have good organizational and interpersonal skills and be able to work independently
  • A problem solver; finds way to circumvent or remove roadblocks
  • Strong business writing skills
