Coordinates the administration, logistics and execution of employee. This individual will be responsible for undertaking office tasks, while also providing administrative support to the broader team. This would include but not limited to dealing with email enquiries, such as assisting in scheduling and booking meeting rooms, organizing business travel arrangements for colleagues and providing supports to business visitors. Additionally, this role will provide administrative tasks related to internal processes as needed (such as contracts, payments and invoices).

  • Assist to prepare the contract, payment and invoice
  • Track budget and expenditures for site, including events.
  • Assist with the coordination and execution of site wide engagement events and annual events
  • Calendar Management:  Maintain calendar to manage meetings, special events and important corporate meetings, meeting room set up.
  • Travel coordination: provide business travel supports to colleagues and visitors
  • Responsible for monitor, purchase, distribution and management office supplies, mainly on logo gifts needed for each event and site leadership team.
  • General office management such as name card printing, photocopying, scanning and printing out documentations
  • Other admin related work is necessary.
